10 Reasons To Hire A Wedding Planner In Spain

When you start with the preparations for your wedding day  is when you start to be aware of the number of things you have to make ready. Organizing a wedding and making it perfect is not a simple task, it is such a special and unique occasion that it requires a lot of understanding and experience.

That is why the Wedding Planners have arisen, people who are entirely dedicated to planning the wedding that any couple would want: before, during and after it. Before this profession was worthless, but with the passage of time to the present it has become an almost essential figure, since it guarantees us an immediate result by knowing how to organize, direct and control even the smallest detail while you only dedicate yourself to enjoy the preparations and this process with absolute peace of mind.

Surely you have many ideas in your mind of how you would like your wedding to be, or perhaps not, that is why having the services of a Wedding Planner is perfect. And now we tell you all reasons:

  1. Time is on your side

If you do not have much time to think about what you want, do not worry, the Wedding Planner will do all this for you, looking for the options that most closely suits your “dream day”. Moreover, you should not forget about: the photographer, decorations, etc. and in the most economical way and with the highest quality. The only thing you will have to prepare will be the list of guests and choose your wedding costumes, which of course, your planner will also help you.

  1. You dream about a special day which is different from the rest

This is where your taste, personality and character come into play, which will be reflected in your celebration. The organizer will be able to meet you to advise you and listen to your suggestions to make the event unique. Since a Wedding Planner, is constantly aware of the new trends that may arise and can propose you original ideas that you don’t even know exist. For example: photo booths, get to the altar in a parachute, get married in some ruins, beach or desert, have accessories for the party and guests … countless details that you may not have stopped to think about and that will surprise everyone.

  1. Do you want to get married in a different city?

More and more people are carrying out their wedding at a destination outside the city where they normally live and this can be complicated, so the wedding planner will contact your suppliers with you at your place: restaurants, spaces for the ceremony, etc. so that you do not have to travel or take the trouble to make calls with these providers.

  1. There is little time left for the wedding

Normally we usually start organizing the wedding at least one year in advance, but sometimes it is leaving and we show up six months before the ceremony, so we have to hire the services of a Wedding Planner if we want all of this despite the little time left, this is a great decision. Although there is little time left for the big day it is better to have this help as it will be the most suitable person to recommend and advise you on the ideas you have in mind, as well as to plan all the tasks that have to be carried out for days, weeks or months, leaving the square calendar until the wedding.

  1. If you don’t know where to start

You have an image in your mind of what you want and how you want it but, do you know where to find the best and cheapest suppliers, or do not have an idea for the gifts, as well as for the details of the decorations? To have a Wedding Planner will be the best decision since it already has a great advantage and the experience of finding everything you need to set up quickly and easily.

  1. Take advantage of your budget

If you think that hiring an organizer will cost you a lot, you are wrong. The Wedding Planner will be able to adjust to your budget and will help you get all the services and products for your wedding in the most affordable way, sticking to your budget and without eliminating quality.

This will also ensure that the fixed payment deadlines are met and will manage and prioritize the resources without overtaking the established financial amount.

  1. If you don’t want to involve friends or family

When we organize the wedding by our own, we have a lot of things to do, so we decide to delegate many of our tasks to family members or friends which can cause small discussions, since it is always necessary that there is a person in charge of everything and, as set everything out.

Forget that your mother-in-law takes care of the flowers, or that your sisters control the catering or the musicians and that your mother takes care of hiring the musicians. The Wedding Planner will do all this for you, solving any inconvenience or setback, coordinating everything so that everyone only worries about relaxing.

  1. If you want to avoid conflicts

When organizing the wedding you could have a lot of disputes, since much of your time you will spend organizing the special day. This is where discussions arise about who puts more effort and who less among others.

This is normal since during this period the couple is usually stressed and very emotional. Therefore, the planner will take care of everything and the bride and groom only have to give their contentment or displeasure.

Stay out of difficulty and stress, take care of your peace of mind by trusting the organizer fully.

  1. Don’t you know which providers to hire?

Photographers, flowers, decorations, clothing, banquet, menus, restaurant, cocktails, musicians, gifts … many suppliers are necessary for this day, so having a Wedding Planner you already have everything ready.

This requires a difficult network that will make you see the quality at a good price and knowing that these will not fail at the last minute. And importantly, this will search among different options to find the most economical price for you.

  1. Take care of any situation

The wedding day with your planner will be there making everything go as planned, coordinating guests, suppliers, etc. With your endless supervision and advice.

The Wedding Planner will also be there to solve and avoid difficulties, and that you only dedicate yourself to enjoy your day in the happiest and calmest way.

With passion and duty, the Wedding Planner will make you live your day in the most intense way, without forgetting any details that make the wedding special. Why worry if we can get our wedding to have a better result than we expected?

1. Budget

First thing’s first, you need to plan how much you want to spend on your wedding. Then you need to elaborate your budget: what do you want to make a priority? On which parts do you want to allocate the most money? Once you have a budget, you can start looking at venues, decorations and vendors to fit your price limits.

2. Guests

Now you know how much you want to spend, you can choose your guests accordingly. Your budget may not allow for a huge list of guests, so you’ll need to decide who you want there the most. It is often the case that more guests get invited for the reception after the dinner, so you can involve more people at the wedding party.

3. Wedding planner

A wedding planner will be like your fairy godmother during the planning. She will take away your stress and will know all the best venues and vendors to make your day successful. Having a wedding planner is especially beneficial if you have a busy schedule outside of wedding planning. You can carry on with normal life knowing everything to do with your wedding is being taken care of.

4. Venue

Once you have your guest list, you can start the search for your ideal venue which has capacity for all guests. Look for somewhere that suits your style. It could also be a good idea from a financial and convenience point of view to hire a venue in which you can host each part of your wedding. As a result, you don’t have to think about guest transportation during the day, nor guest accommodation.

5. Theme & decor

Now you have your venue, you can decide on how you want it to be styled! This is one of the most fun parts. What colour scheme do you want? Do you want a particular theme that means something to you as a couple? Flowers? Arches? The list is endless! Pinterest is amazing for inspiration.

6. Vendors

To make your decor dreams come true, start thinking about hiring your florists and other decoration suppliers. Your wedding planner will know the best vendors to suit your style. Other vendors to hire include caterers, entertainers (such as a live music group or DJ), and a photographer/videographer.

7. Save-the-Date cards and invitations

Design your save-the-date cards and invitations to suit the style of your wedding. Include an RSVP and make sure you set a date you want your guests to confirm by.

8. Outfits

Start looking at potential wedding dresses and bridesmaid dresses to allow for fittings. Buying a wedding dress is a beautiful moment, we hope it’ll be a memory you can treasure forever. Also look for outfits for the groom and groomsmen. It is a nice touch to incorporate a similar colour scheme to the bridesmaids’ and groomsmens’ outfits. For example, their ties could match the colour of their dresses.

9. Officiant

If you have opted for a non-religious ceremony, hiring an officiant is the next step. Nowadays, it is becoming common for couples to choose friends or family members to do this. More traditionally, there are professionals who carry out the ceremony.

10. Transportation

If your guests need a way of getting from A to B on your wedding day, it is time to start thinking about hiring transportation. There are so many options of transport: cars, coaches, taxis etc…

11. Menu

Think about what you want to eat on your wedding day. Consult your caterers regarding what options they have and arrange a menu tasting. A tasting will give you the opportunity to know if you like the menu or not.

12. Cake

Whilst we’re on the topic of food, now could be a good time to think about your cake.

You and your husband can go and choose your wedding rings together, or you can leave it as a surprise. Just remember to get them ready on the morning of the Big Day!

14. Styling

Organise who you want to do the bride’s and bridesmaids’ hair and makeup. It is always a good idea to organise a makeup and hair trial to work out timings and make sure you and your bridesmaids are happy.

15. Seating

Often the hardest part for couples is deciding where to seat their guests at the ceremony and banquet. Think about who would like to sit with who and whether or not you’d like a top table.

16. Vows

The time has come to write your all-important vows if you have chosen to create your own. Make them personal and rehearse them so you are ready for your big moment.

18. Songs

Speak with your partner and family about what songs you’d like to play at your wedding and reception. Once you have a list, you can send this to your chosen DJ/musician to make sure they’re prepared.

19. Relax

Now sit back and relax, most of the planning is now done. Consult with your wedding planner about a wedding coordinator to ensure the smooth running of your big day from start to finish. This will remove last minute panicking as they will resolve any issues on the day.

Why do you need a wedding coordinator in Spain?

Wedding coordinator – is a professional who performs on the “scene” directly on your wedding day. He or she cares about agenda designed by wedding planner, watches out of all details and makes the celebration process perfect from the very beginning of the day till the time of last guest’s departure.

One important point: the wedding coordinator in Spain – it is all above plus a translator. This is a person who can help the bride and her guests at any time, communicates with local staff and resolves any misunderstandings and problems. Here in Spain, coordinator must speak not only English or Spanish, but often local language Catalan. I can say without any doubts: me and my team speak perfectly all these languages!

Wedding Coordinator tracks all the steps according the event timing and makes everything in time. Also he or she is responsible for the well-coordinated and efficient work of hired professionals – make-up artists, photographers, musicians, florists, etc. Coordinator remembers what time artists or photographer should arrive, who keeps the rings at the ceremony and what to do if the rain starts or  bride’s heel is broken.

And – yes, a good coordinator in Spain – this is a special kind of fairy, who is always in the right time in the right place and resolves all the problems. For example, coordinator’s purse is full of completely unexpected, but necessary at the moment things. Threads with a needle, pin and hair spray, comfortable shoes for tired legs, a sedative and analgesic medicine, USB flash drive, wet wipes, etc.

Wedding coordinator supervises all the wedding stuff – up to a little piece! The appropriate arrival of  stylists, makeup/hair for a bride, flowers, bridal bouquet and groom’s boutonniere, decor for the ceremony or banquet hall – floral compositions, furniture and accessories. Coordinator guides the transport on wedding day and controls all the movements of the bride and groom and their guests. He or she meets latecomers (or vice versa, early birds) and escorts them to the place of the ceremony.

If you decide to visit the castle or beautiful historic park, the coordinator will make the smooth entrance – here in Spain there are some places which require special or pre-purchased tickets for every guest. And the wedding coordinator will check the photo and video permission and etc. During the dinner coordinator monitors the efficient work of waiters, musicians and other professionals. Also coordinator is the person who pays vendors at the end of the celebration.

To be honest, I believe that the bride’s goal – to enjoy the wedding, wedding coordinator’s goal – to ensure everything makes the bride happy. For my dear clients I prepare a special gift from my heart – if you order a wedding organization in the Natalia Ortiz agency, Big Day’s coordination of any complexity is included in the cost of the wedding!

And of course, Wedding Agency by Natalia Ortiz provides the service of wedding coordination in Spain absolutely to all couples who have planned their wedding in Spain by themselves and who wants to enjoy their beautiful day!

Wedding in Madrid: Oscar & Natalia

Oscar and Natalia’s wedding took place on a beautiful estate in Madrid. It was a magnificent Madrid wedding and today we want to show you how fabulous the day was – we hope you like it as much we do!

The setting was gorgeous, a lovely stone estate which was quite medieval in style, surrounded by picturesque, green gardens. The ceremony for this wedding in Madrid took place indoors, in a room with exposed stone walls and white beams on the ceiling which made the room lovely and bright, as well as traditional in style. The guests sat on white chairs which matched perfectly with the colour of the ceiling and the room was decorated simply but elegantly, with a few flower arrangements near the altar. The flowers contained strong pink tones, which contrasted amazingly with the room and matched the bride’s bouquet.

After the ceremony, the bride and groom had a photoshoot in the stunning outdoors surrounded by the fantastic stone pillars.

Styling

Both the bride and groom looked incredible on their big day. Natalia wore a wonderful dress with lots of sparkling details and a big netted skirt. The dress also had a beaded belt which added another glamorous detail to her dress and was very flattering. She wore her hair in a loose updo and she looked absolutely beautiful.

Oscar wore a smart black suit with a white shirt and a navy tie. He wore a dark pink flower in his jacket which matched perfectly with Natalia’s bouquet so the couple were in harmony.

We really enjoyed planning this special Madrid wedding and we couldn’t have been more happy with the result. If you are interested in letting us plan your own special day, you can write to us at info@svadbavispanii.ru.
