20 questions to ask your wedding venue

Now you’ve picked out your ideal wedding venue, there are some questions you could consider asking to make sure that the venue will definitely be right for your big day. To help you, we’ve put together 20 questions you should consider asking your wedding venue before you commit to having your wedding there – let’s begin.

20 questions
1. Is the date I want to get married available?

Venues can get booked up very far in advance, especially on Fridays or weekends, and if you have a specific date in mind (a date that is special for you and your partner, perhaps) then the first question to ask your venue is whether or not this date is available for your special day.

2. Can I have my ceremony, banquet and reception here?

Using the same place for both the wedding ceremony and reception will not only save you money, but it will also be extremely convenient for you and your guests – you won’t have to think about transportation from location to location.

3. Can I accommodate my guests here?

The next thing to ask is whether or not your guests will be able to stay at the venue. This is important when considering logistics for your wedding.

4. Are there specific caterers here which you use?

Wedding venues occasionally work with their own caterers so you can ask to see a menu proposal to make sure that you’re happy with the catering options at the venue. Alternatively, you could ask to choose your own caterers for the big day.

5. Can we taste the menu beforehand?

You may want to make sure you like the food they will serve and are happy with the quality of it before your special day.

6. What is the time-frame in which we can have the venue for?

Some venues have limits on how long you can have the wedding and reception for, so it is important to check if there is a certain finishing time they abide by so you can know how long to hire a DJ or other entertainment for, for example.

7. Are there any other events occurring on the same day?

It’s always favourable if yours is the only event at the venue on the day, but it is a common occurrence to have more than one event on the same day – still, don’t let this put you off, the venue will ensure the day is your own no matter what other circumstances occur!

8. How many guests can the ceremony and banquet room accommodate?

Often you will have less guests for your ceremony and wedding meal, then more for the evening. However if you plan to have many guests for the ceremony and meal you must ensure that they can all be accommodated.

9. Is there disabled guest access?

Another question to consider is whether or not all your guests will have easy access to the venue – do they have accessible entrances for guests in wheelchairs, for example?

10. Can I hold some parts of my wedding outdoors?

If you are celebrating it in a country such as Spain with a good climate all year round, the weather is likely to be nice. Therefore it could be worth asking if there is outdoor space you can use to make the most of the weather.

11. Do you have wedding packages?

Wedding packages are always advantageous and can save you money. So, it is a good idea to ask the question of if they have packages and what is included in them.

12. Can I see a room layout?

A room layout will help you to plan what you can fit in the space and where you can seat your guests.

13. Are there limits to what decorations I use?

Occasionally venues put certain limits in place regarding decorations. For example some may not allow the use of lit candles due to fire hazards.

14. Do you provide all the utensils, tables and chairs for the banquet?

Knowing this in advance is important so you can organise table, chair and utensil rent if the venue doesn’t provide their own.

15. When can we start the set-up?

To plan the timings of your wedding day, you should ask what time you can begin setting up for your day. You could even ask if you could start the day before.

Photography: Sandra Mañas García / Wedding Planner: Natalia Ortiz
16. Does your reception room allow for entertainment?

You should ensure that your wedding venue can accommodate the entertainment you wish to have at your reception. This could be a live band or DJ, and ask what time they can set up.

17. Do you have an alcohol licence?

Most venues will be permitted to sell alcohol, however sometimes you may need to provide your own.

18. Is there a car park?

It is a good idea to check out if there is space for parking, as many guests will wish to arrive in their own cars.

19. What is your cancellation policy?

You should check out the venue’s cancellation policy. This will be of use in the event that something changes after you book your wedding venue, and you need to either change the venue or reschedule.

20. What would the total cost be?

Ensure that there will be no hidden fees and check whether this costs includes tax.

So here is a list of 20 questions to ask your wedding venue. At Weddings and Events by Natalia Ortiz we assure that your wedding venue will be everything you want it to be. Therefore if you want help planning your wedding, you can write to us at info@svadbavispanii.ru. We look forward to hearing from you!

Natalia and Alberto’s wedding in Marbella

Natalia and Alberto, a Russian-Spanish couple, contacted us a few months ago in order to plan their wedding in Marbella. We got to work, and the result couldn’t have been more perfect. In this article, we’ll give you all the details and share a few of the most special photographs from the big day.

The outdoor ceremony took place in a spectacular hotel in Marbella. The couple got ready in their separate rooms with their bridesmaids and groomsmen, cherishing the special moments before the couple said “Yes, I do”.  Natalia wore an amazing princess dress with suspenders and pronounced cleavage, and a flattering makeup look with red lips as the main feature. In fact, red was the main colour of the wedding: the bridesmaids wore pretty red dresses, and the groomsmen wore red ties. Meanwhile, Alberto wore an elegant blue suit with a white shirt. They were a picture of elegance!

The ceremony was flooded with white, with a beautiful altar decorated with flowers and a large carpet in the hallway. After getting married, both the couple and the guests threw white balloons in the air, which made for some fantastic photographs.

Afterwards, everyone enjoyed an outdoor wedding banquet, thanks to the ideal weather conditions in this exclusive region of Andalucia. So that she could dance easily, Natalia changed into a short and very comfortable dress…now she was ready to enjoy the whole night!

We will leave you with the marvellous photographs of this adorable couple and their wedding in Marbella. Thanks for having faith in us!

Wedding coordination service

Wedding day coordination is one of the most important parts to make your Big Day a success. Our wedding planning services include wedding day coordination. Because of this, you can be sure that your planning and coordination will go hand in hand for a perfect day.

Why are wedding coordinators important?

Wedding coordinators are a crucial part of your wedding because they take your stress away. With a wedding coordinator, you can forget last minute panicking because they make sure every detail of your day is perfect. You can simply relax and enjoy your wedding with your loved ones.

What do wedding coordinators do?

There are many parts to a wedding coordinator’s role. However, to summarise, wedding coordinators take care of every detail on your big day, from set-up to when your last guest is ready to go home. Here is a list:

  • They will set your wedding up. They’ll make sure your decorations are in the right place, and the same for the seats. When the time comes for the cocktail reception or banquet, they’ll set this up too.
  • They will ensure that your vendors are ready. They’ll call vendors such as your photographer, DJ and caterers to make sure they’re on their way.
  • They will be the go-to person to answer questions which your guests may have.
  • Your coordinator will inform your photographer of when important moments are about to happen. For example, they will tell the photographer when the cake will be cut, or first dance is about to happen so they can capture the most important moments.
  • Finally, they can ensure that your guests are looked after and are behaving well at your reception. Sometimes guests can get carried away if they’ve had a few to drink, so having someone control them can be very helpful.

The role of a wedding coordinator is limitless as every wedding is different, but these are the main points. Wedding coordinators are trained to adapt to all kinds of wedding, and they are ready for anything.

How much does a wedding coordinator cost?

This depends on how many wedding coordinators you need. We suggest 1 coordinator per 25 guests to make sure there are enough coordinators for your day to be smooth. Certain coordinators will look after certain groups of guests, such as the bridesmaids and groomsmen, the couple, and the vendors. The price also depends on the location of your wedding if your coordinator doesn’t work for the venue.

Wedding coordinators are undoubtedly crucial for your Big Day. This service comes as part of our wedding planning service, so you can contact us at info@svadbavispanii.ru to team up with us. We look forward to coordinating your wedding!

Why have a small wedding?

Nowadays, more people opt for a destination wedding in Spain and, as a result, small, intimate weddings are becoming more common. In this article, we go through all the most important advantages of having a small wedding in Spain.

Costs

Firstly, by having less guests, you have the opportunity to spend more money on the decoration and entertainment areas of your wedding. As a result, your day can be exactly as it is in your dreams. This in turn will make your wedding more memorable for your guests, as well as yourselves, as you can have a small, more luxurious wedding for the price of a basic wedding with hundreds of guests.

More personal

Small destination weddings offer a more personal experience for both the couple and the guests. You will be celebrating only with your nearest and dearest, and you will not have to feel obliged to invite people you are not as close to. Additionally, you can spend more time with each of your guests which makes their time more enjoyable too.

Choice

For small destination weddings you have a lot more options for venue and accommodation at your disposal. Additionally, it will be a lot easier to accommodate your guests all in the same place. Moreover, you can often accommodate at the same place as the reception. This is generally the preferred option as it cuts down the need for extra transportation.

10 wedding transport ideas

Transport is a very important feature of any wedding, and traditionally the most common choice was of course classic wedding cars. However nowadays there are plenty of options of transport for weddings, so if you’re currently thinking about transport for your wedding this article is a must-read as we have put together the 10 best wedding transport ideas!

1. Classic car

Let’s start with a traditional mode of wedding transport. Classic cars have always been a popular choice for weddings, and if you love the beauty of classic cars this option is perfect for you. There is a whole host of models to choose, and it is popular to decorate the car with ribbons to transform it into a wedding car.

2. Limousine

Limos are linked to luxury and glamour, so if your wedding is going to be luxurious and glamorous, why not travel by limo? Additionally, from a more practical point of view, if the bride has a large, princess-style wedding dress a limo could be a more comfortable choice since the dress will be able to fit more easily in a limo!

3. Super luxurious car

If travelling in a supercar is your dream, why not use the opportunity of your wedding to make this dream happen? Imagine being transported from your wedding to the reception in a chic red Ferrari with the roof down with the Spanish sun beaming down on you – perfect.

4. Moped or motorbike

If you are a king or queen of speed and enjoy being in the open air, a moped (such as a classic vespa) or motorbike (Harley Davidsons always look cool) could be the option for you. It’s certainly a unique choice and would definitely be unforgettable.

5. Horse and carriage

On the opposite end of the spectrum to motorbikes lies the elegant option of a horse and carriage. With Spain’s beautiful, sunny climate, a horse and carriage is a very feasible option. This method of transport will make you feel like a king or queen on your wedding day.

6. Donkey

If you are marrying in Catalonia, why not use the cultural Catalan symbol of the donkey? As well as being sweet animals, donkeys have also provided a reliable method of transport for thousands of years.

7. In the air!

To make an unforgettable entrance, you could arrive at your wedding in a helicopter or even by a small private plane. Imagine rolling out the red carpet from a helicopter to walk down the aisle! You’d feel like royalty.

8. Hot air balloon

Again arriving from the sky, if you are a thrill seeker you could choose a hot air balloon to take in all the views of sunny Spain whilst arriving at your special ceremony.

9. Boat

Spain is surrounded by beautiful coastline, and so a popular choice of wedding venue in Spain is the beach. If you are a couple who will celebrate your wedding on a beach, why not consider a boat for your method of transport? It would be both practical as you’re by the sea and unique!

An open-air wedding in Buen Amor Castle – Tatiana y Thomy

We organized a wedding which took place on the 31st of May in Salamanca for the beautiful couple Tatiana and Thomy. Tatiana is from Russia and she works in finance business and Thomy, from Peru is working as a chef. They live in the United States but decided to marry in Spain near to their closest ones so they contacted our office and asked for help in creating the wedding of their dreams.

It was a wedding in castle Buen Amor which is a magnificent building with towers and wide gardens where the ceremony took place. The castle has beautiful iron constructions which we decorated with white flowers and it turned out to be perfect for the romantic ceremony. We also had iron chairs decorated in the same way as the altar and it suited the castle’s medieval style well.

Tatiana was dressed up in the castle and, as you can see from the video, this moment was peaceful and full of happiness; she was like a real princess from a fairytale castle. Her wedding dress was light with a beautiful heart shaped neckline and some transparent fabric in it. She also had a belt with decorations and sleeves. It was amazing! She chose a romantic white and silver hair piece and her wedding bouquet had flowers in pink and mauve colors. Thomy was wearing a black and blue tuxedo with a white shirt and a bow tie. So the guests knew where the ceremony was, we had wooden signs with white characters. Wooden signs also acted as a beautiful decorations. The couple couldn’t have been happier at the end of their wedding in castle Buen Amor, it was exactly what they had been dreaming of.

The cost of a destination wedding

In this next post, we want to explain and detail the cost of a destination wedding, as we know it is hard to find this type of information when couples want to celebrate their wedding in a different country.

It is a difficult topic if you don’t know the specific requisites that are necessary to establish a base budget, but once you have one, everything will be a lot more simple and you will be able to enjoy the preparations.

Wedding beach ceremony in Alicante
Myriam y Hedger. Photography: Hanna Baranava / Organisation: Natalia Ortiz
Aspects to take into account if you are going to celebrate a destination regarding costs:
  • Firstly it is important to forget the idea that destination weddings are more expensive than other weddings. In fact, it’s usually the opposite: think – the number of guests will be smaller (not everyone is going to travel so many kilometres for a wedding of an acquaintance), and so the costs lower considerably.
  • As an intimate wedding, and thus more economical, you can dedicate more money to designing the wedding of your dreams: floral decoration, details for your guests, wedding dress or the selection of an exclusive location.
  • More than a wedding, it is a celebration that will last for several days, at least 2 or 3, and can be extended for up to a whole week. In this time you can do a whole host of actives with your loved ones, you can stay in an exclusive villa and enjoy an authentic holiday.
  • In relation to the previous point, you can organise your honeymoon in the same country as the wedding. You will start your honeymoon as soon as you get married, without worrying about bags and travelling the day after your big day.

Now that we have reviewed the advantages of organising a destination wedding, what do you say if we make a list to prepare the base budget? Let’s see point by point:

Locations for weddings

The first cost which you have to keep in mind is that of the location of the wedding. There are some which offer you a complete package with ceremony, banquet and party, and for others you are simply just charged rent.

Ceremony and banquet

For the latter case of location, in which you just pay rent, you have to organise the ceremony and the banquet. The price depends on if you are inside or outdoors, if there is anything to add or no decoration, and, above anything, the price of the menu per person for the banquet. Note: don’t forget to add the price of the wedding cake. We recommend 150g of cake per guest.

Female wedding

Rent

Being a destination wedding, the guests will need some sort of accommodation. If it is a small wedding, there are more options to enjoy your stay in a villa or a boutique hotel all together.

Music

Music is the fundamental element of the wedding entertainment and will be present in several different moments: ceremony, cocktails and banquet (optional) and dancing. You must think how important this aspect is for you and hire the musicians according to the style you want and the DJ hours that you will need.

Photography and video

What is more important than the memories of your wedding day? If there is something that you can’t skimp on, it´s the photography of your wedding. Take into account whether you want a video, there are some photography studios that also offer this service.

Wedding in Girona
Angelina y Sergei. Photography: Aljosa Petric / Organisation: Natalia Ortiz
Transport

On the one hand, you should add the price of transport for guests from your country to destination country, and on the other, from the airport to the place where you will celebrate the wedding. In Natalia Ortiz Weddings and Events we can hire a private plane with space for 50 people who will arrive all together.

Stationery

Regarding stationery you have to take into account the invitations, the menu, and the seating plan. Additionally, you have to add the card with directions to the location, dress code or even thank you cards.

Wedding weekend in Madrid
Wedding Silje y Thomas. Photographs: Alla Yachkulo of Buenas Photos / Wedding Planner: Natalia Ortiz
Styling

Although the dress comes with you from your country, on the day of the wedding you should hire a stylist who will do the makeup and hair of the bride and if you wish, of some of the family.

Decoration

The decoration of a wedding is very important since it will determine the style of the event. Some locations are already very decorative and reflect your own style, while others need more work. We recommend dividing the decoration into various points in the budget, dedicating most of it to floral design.

Wedding in Valencia
Wedding Anastasia and Richard. Photographs: Buenas Photos / Wedding planner: Natalia Ortiz
Wedding planner

And last but not least, the hiring of a wedding planner who knows the country where the wedding will be in detail, and who can help you with each and every one of the previous points so you only have to enjoy yourself. In addition, they could organise activities for the days before and after the wedding, as much for the couple as for the guests.

To know in more detail about the prices of each one of these services, you can visit this page or write to use at info.svadbavispanii.ru.

First steps to organise a destination wedding

After the excitement of the proposal, it is time to start the preparations for the wedding, and we know that sometimes this can be overwhelming. There are many decisions to make when organizing a destination wedding, and a long way to go to create the wedding of your dreams.

But the most important thing is not to fall victim to the burden or the nerves, because we can not lose sight of the fact that it will be the most special day of your lives and you must enjoy the months running up to your wedding. That is why we are going to review the first steps to organize a destination wedding, and they will surely help you to start the process:

Choose the country where the wedding will be celebrated

First and foremost you must decide the country where you want to celebrate your destination wedding. We advise you to decide a place where you have good memories or that you have always wanted to visit, a place with good weather and that can offer you several possibilities to have the wedding of your dreams: if you want a beach wedding, or to get married in a castle, in a field, etc. Many foreign couples decide to celebrate their wedding in Spain thanks to its good climate, the amount of beautiful and historic venues where you can get married, and the delicious cuisine.

Wedding in Alicante

Choose a wedding planner

Once you have chosen the country where the wedding will be celebrated, the next thing we recommend to do is choose a wedding planner, who will be a huge help during the organisation of your wedding, and who will help you achieve everything you desire.

When you have chosen the professional who will organise the wedding, you should provide some information that will be essential to start the coordination of everything. This information should include:

The date

You have to choose a date for your wedding, or at least, an indicative date, to start designing the wedding depending on the time of the year and to reserve the venue.

The sooner you have the date, the more chance there is that you can choose the venue that best suits your needs. In addition, for destination weddings the anticipation is an important point, since both fiancés and guests can plan an unforgettable trip.

The budget

And now we come to one of the less popular, but essential, points for the organisation of your wedding. You must agree on a base budget which your wedding planner can work with. It is important to be realistic and adjust to it so that everything goes smoothly and there are no surprises. Once you give your wedding planner the budget, she will be in charge of getting the best suppliers and preparing the wedding of your dreams in terms of decoration, adjusting the budget, without cutting it. You will know where to allocate each percentage so that your destination wedding is a hit.

If you are struggling to get your head around a budget, we advise you to check our services to help you with this decision.

Wedding in Mallorca

The venue of your dreams

The venue where you will celebrate your wedding is another important decision. You must think about what style of wedding you want, the approximate number of guests that will come and the date, and your wedding planner will propose the best venues for you. You will be statisfied for sure !

Wedding in Madrid – Teresa y Ernest

Teresa and Ernest celebrated their wedding in Madrid last February. It was a very romantic and emotional wedding, in which the couple was surrounded by all their loved ones who came from the USA and Mexico to accompany the couple on this special day.

The bride got ready in a hotel in the centre of the city, with a smile on her face. She wore a beautiful heart-shaped dress with transparent sleeves and she looked stunning. She wore a very natural hairstyle and for makeup she had black eyes and pink lips. The jewel shoes in nude and the red nails were the perfect touches of color. The bouquet was a delicate one with white flowers.

Ernest was waiting at the altar with a dark suit and bow tie, very elegant and excited, and the ceremony could not have been more emotional. The banks were adorned with pretty white bouquets that gave light to this cozy Church.

At the banquet all the guests could sit at the same table, where they could enjoy together this unforgettable day. A beautiful detail was waiting for them at the table: a precious silver spoon. Look how lovely this wedding in Madrid was.
