Differences between a wedding planner and a dedicated event coordinator

The profession of wedding planning is developing in our society and the couples which choose this service are increasing too. Even still, a lot of people don’t know what this profession exactly is and ask questions like: What is a wedding planner? What is the benefit of having one? Why is better to negotiate with a wedding planner if the location offers me an event coordinator?

This last question is the point which we will focus on today, as we talk about the differences between a wedding planner and a dedicated event coordinator.

The latter is often denominated wedding planner and this is the reason why there can be confusion, but their functions are very different:

Wedding planner’s functions

The wedding planner’s role is to organise all of the wedding’s aspects and her ultimate goal is to ensure the happiness of the couple. Her role includes:

The general organization, from the very first step of the wedding planning to the end of the wedding.
The coordination of all the suppliers involved: make-up artist, stylist, florist, musicians, decorators, etc.
During the wedding day, we assist you from the first preparations to the end, when the last guest leaves.
They know all the wedding details.
They resolve all the problems, in every single moment also during the wedding. Always vigilant and with an ace in the hole.
Planning of a wedding timeline, in this way everything will be perfect.

Dedicated event coordinator’ s functions

The coordinator works for the location where you choose to celebrate your wedding, and so who knows all the aspects of that location very well.

They are an intermediary between you and the room staff, in order to achieve all of your goals.
They assist you during the meal tasting and assure that your choice will be carried out on the day.
They coordinate all of the internal aspects of the wedding day.
They work out the banquet’s cost (and the cost of the ceremony if you will celebrate it in the location in which they work)
They know the different menu options: vegetarian, gluten-free, etc.
Are responsible for the perfect coordination of all the aspects during your wedding day.

After these clarifications it is easier understand the differences:

Differences between a wedding planner and a dedicated event coordinator:

The dedicated event coordinator shall coordinate all the location planning; the wedding planner is in charge of all the wedding planning from the first moments until the end.
The event coordinator is an intermediary between you and the venue staff, but the wedding planner is more than that. For example, if the wedding cake is baked by an external supplier, the wedding planner shall ensure that it will arrive at the right time and place.
The event coordinator ensures that we receive the price negotiated, but it is the wedding planner who knows the global costs and helps you to have the best event without spending all your budget.
Generally, the dedicated event coordinator doesn’t escort you during the wedding day (not all the day, at most) because sometimes the venue celebrate more than one event in the same day. The wedding planner will assist you all the time, coordinating and establishing the peace that you need that day.

In short, both are extremely important for the best wedding, because each one is specialized in a different field and they become complementary for a successful event.

Weddings and events planning: our experience

After several years specialising in wedding and events planning, at Weddings and Events by Natalia Ortiz we know that, in addition to the ability and the extensive knowledge necessary in order to be able to work in this profession, there is something more important to success: the experience. During every wedding we give our best effort to get the best result and exceed the expectations of our customers, and our weddings and our events are unique. This is, at the same time, our real goal and what gives us the highest satisfaction.

For this reason, we want to show some of our beautiful weddings and all the experiences that give us the opportunity to develop in the field of weddings and events planning.

We have given our best effort in these challenges, and we always had the peace of our customers at the centre of our mission as well as solving all the problems that we have encountered.

Anita and Alexey’s wedding at the beach

Anita and Alexey’s wedding was a colourful event filled with happiness. You only have to see how wonderful their smiles were during the whole day to understand how special it was.

We organised the wedding 6 months before the date. All the decorations had to be in harmony with the amazing Tenerife view where the wadding took place. There was a strong wind that day, and the waves were so high that they reached the wedding venue. However, we thought of a solution in just a few minutes: to set up the celebration on the viewpoint of the hotel. So we found a resolution to the wind problem without losing the amazing view. As a result we had a couple that couldn’t be happier.

Kaci and Dave’s wedding on the mountains

Kaci and Dave married in the Natural Picos de Europa Park in Asturias, a wonderful place in which the green space all around was the main feature. Just as the venue on top of the highest mountain peak was ready for the celebration, the weather changed. The clouds turned the green view into a grey atmosphere, that wasn’t perfect for the pictures. So we decided to make use of the clouds to create a romantic atmosphere using some candles placed around the venue. As a result, we had romantic and bright pictures thanks to the candlelight and the white clouds.

Olga and Denis’ wedding

During Olga and Denis’ wedding preparations, the future wife received the most important news ever: she was pregnant !The problem was that the wedding dress order was already confirmed some time ago and it had been sent from a far distance. Furthermore, Olga couldn’t try it on, because she was on a business trip in Thailand.

Without the possibility of altering the dress, we started to look for a new one, and in the end, we found two! Olga looked very elegant and brilliant, and to feel comfortable during the dance, she wore another dress. This is what we always suggest to our brides, because if they do they can dance all the night without problems. The most important is…to enjoy yourselves!

Teresa and Ernest’s wedding in Madrid

Teresa and Ernest decided to get married in a Church, so they needed all the required documents. The documents arrived only one month before the wedding day, even though we completed all the procedures in advance. Without the papers required, we couldn’t choose the wedding date and we couldn’t reserve the wedding location, so we planned the event in just one month. Unbelievably, it was possible and it also was a wonderful event, as the pictures show.

These are only some of our experiences that we wanted to share with you, and that helped us to improve in the weddings and events planning world, without losing our most important goal: ensuring the tranquility of our clients.

Wedding in Tenerife – Anita y Alexey

The beautiful wedding in Tenerife of the Russian couple Anita and Alexey could not have been more romantic. The bride and groom love this place and did not hesitate to choose the paradisiacal Ritz-Carlton Abama Hotel to celebrate their great day. From the beginning Anita wanted a wedding full of color, so they decided to celebrate the ceremony with the spectacular views of the sea and surrounded by colours: green, blue, yellow…

Anita wore a beautiful wedding dress with straps and beautiful neckline and back. The fabric was amazing, with transparencies and delicate rhinestones. She chose gorgeous turquoise shoes.

Alexey looked very elegant with black pants and a light blue jacket, very appropriate for a ceremony by the sea.

The flowers were the main decoration for this wedding. Beautiful flowers in white, pink, blue and green decorated the beautiful altar and the ceremony corridor. The flowers were also on the banquet tables and the spectacular cake.

The couple changed for the dance. Alexey wore white pants and black jacket and Anita dazzled with a short dress with sequins.

The place where the ceremony and the banquet of this wedding in Tenerife took place was a complete success. The hotel has a special charm with all the vegetation that surrounds it, so it made this wedding a unique and unforgettable moment.

Wedding in Asturias – Kaci and Dave

The wedding of Kaci and Dave was a spectacular wedding in Asturias, in a castle in which the bride and groom became real princes. This castle has an spectacular architecture and it is in the middle of nature, surrounded by beautiful mountains.

The castle has magnificent stone stairs where the couple could take photos and immortalize their great day. The couple was also photographed in the beautiful landscape surrounding the castle, with the green of the mountains and a beautiful lake in the background.

Kaci wore her hair with beautiful waves, with little flowers and a simple veil. As complements, she wore a pair of spectacular vintage earrings, sandals in pink rose that combined perfectly with the dress, and a bouquet in pastel tones with white and pink flowers.

The bride got ready in one of the castle rooms. She wore a beautiful dress in light pink with silver lace full of rhinestones.

Dave chose for the occasion a modern and elegant suit in deep blue, with white shirt and striped tie in light blue. He wore a belt and brown shoes and some flowers adorning his lapel.

The invitations were designed with an elegant and sophisticated style, with a beautiful illustration of the castle and typography according to the style of the wedding. For the ceremony and dinner decoration, we chose to use candles to provide light and give a more cozy atmosphere to the romantic ceremony.

Kaci and Dave wedding in Asturias was a wonderful day in which the couple shone in an exceptional environment, with a monumental building in the background surrounded by an amazing landscape.
